A journey where crossing a border isn\u2019t just a formality, but a real process in itself.  <\/p><p class=\"p1\">That\u2019s exactly why we decided to prepare for a trip beyond the European Union. But before we dive into the route, the places, and everything we\u2019ll experience along the way \u2013 we need to start with the basics: paperwork. Because without the right documents, you won\u2019t get much farther than the nearest Schengen checkpoint. And one of the key pieces of that puzzle is the <strong><span class=\"s1\">Carnet de Passages<\/span><\/strong> \u2013 especially if, like us, your motorcycle is leased.   <\/p><p class=\"p1\">This post kicks off a series where we\u2019ll walk you through the entire prep process, step by step. No fluff, no sugarcoating \u2013 just how it really works. <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-80282de elementor-widget elementor-widget-text-editor\" data-id=\"80282de\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2>What is a Carnet de Passage?<\/h2><p class=\"p1\"><a href=\"https:\/\/carnetdepassage.org\/\" target=\"_blank\" rel=\"noopener\">The Carnet de Passages en Douane (CPD)<\/a> is basically a passport for your vehicle. It allows you to temporarily enter many countries outside the European Union without having to pay import duties or taxes at the border. The document is issued for a specific car or motorcycle and serves as a guarantee that the vehicle will be taken back out of the country you\u2019re entering. <\/p><p class=\"p1\">In practice, the CPD works a bit like a guarantee. If you don\u2019t leave the country with your vehicle, the organization that issued the document may be held responsible for paying the customs duties on your behalf. In our case, since we\u2019re based in Poland, that organization is PZM (Polski Zwi\u0105zek Motorowy). If you\u2019re applying from another country, the equivalent would be your national automobile club.<br>That\u2019s why a security deposit is required when applying for the CPD \u2014 sometimes quite a hefty one. It\u2019s refunded after your trip, as long as you return the document properly stamped and complete. <\/p><p class=\"p1\">The CPD isn\u2019t required everywhere, but in many countries \u2014 especially in Asia, Africa, and the Middle East \u2014 you simply can\u2019t enter with your own vehicle without it. It just involves a few extra steps and a bit more paperwork, since the vehicle isn\u2019t technically yours. We\u2019re describing the process for a motorcycle, but the same principle applies to cars, vans, or even trailers.  <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-8dc6773 elementor-widget elementor-widget-text-editor\" data-id=\"8dc6773\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>Is this even possible?<\/h3><p class=\"p1\">Yes, it\u2019s definitely possible \u2014 but a lot depends on your leasing company\u2019s internal policy. The key thing is what\u2019s written in your contract. If there\u2019s no mention of taking the vehicle outside the European Union\u2026 that\u2019s actually a good thing. Seriously. That was the case for us \u2014 the absence of any restrictions on non-EU travel worked in our favor.    <\/p><p class=\"p1\">But the contract is one thing \u2014 the company\u2019s attitude is another. And that\u2019s where things can get tricky. A CPD isn\u2019t something you can sort out with a quick email or a few clicks. For most leasing companies, this is an unusual request. They usually don\u2019t have a ready-made process or template for it. Some will be helpful and sort it out without much hassle, while others might drag their feet or ignore you altogether. This isn\u2019t like requesting a standard document to travel within Europe \u2014 it takes more persistence and patience.    <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-cc02aff elementor-widget elementor-widget-text-editor\" data-id=\"cc02aff\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>Who owns the vehicle in the context of CPD?<\/h3><p class=\"p1\">With a leased vehicle, the legal owner is the leasing company \u2014 you\u2019re just the user. And that\u2019s exactly why you can\u2019t apply for a Carnet de Passages on your own without their permission. The leasing company is technically the one \u201clending\u201d you the vehicle for temporary use outside the country, and the CPD needs to reflect that.  <\/p><p class=\"p1\">So when submitting your documents to the Polish Automobile and Motorcycle Association (PZM), you\u2019ll need to include not just your own details, but also the written permission from the vehicle\u2019s owner. Anyway, back to the point\u2026  <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-10aa1d3 elementor-widget elementor-widget-text-editor\" data-id=\"10aa1d3\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>Lessor&#8217;s consent<\/h3><p class=\"p1\">We totally get the appeal of leasing and the tax benefits that come with it \u2014 we\u2019re taking advantage of that ourselves, so no judgment here. But if you\u2019re planning to take your vehicle outside the European Union, the lease agreement alone just won\u2019t cut it. <\/p><p class=\"p1\">A lot of people mistakenly assume that a standard authorization to use the vehicle abroad \u2014 the kind you can download from your leasing company\u2019s portal \u2014 is enough. Unfortunately, it\u2019s not. When applying for a Carnet de Passages, you need a very specific document: a notarized authorization signed by at least two official representatives of the leasing company, as listed in the national business register (KRS in Poland). And this step is often the hardest part of the whole process.   <\/p><p class=\"p1\">In our case, the motorcycle (<a href=\"https:\/\/warsawtravelers.pl\/en\/our-motorcycle\/\">which we talk more about in a separate post<\/a>) is leased through <span class=\"s1\"><b>Impuls Leasing Polska<\/b><\/span>. Even during the purchase stage, I mentioned to the sales rep that we were planning trips outside the EU and asked if the company had any objections. As you can probably guess \u2014 everything sounded great\u2026 right up until the moment we actually signed the contract.  <\/p><p class=\"p1\">In July 2024, I sent the first email requesting the necessary documents. And then\u2026 months of radio silence. Until <span class=\"s1\"><b>April 2025<\/b><\/span>, there were no real steps taken \u2014 just vague promises like \u201cthe board is open to it,\u201d \u201cwe\u2019re reviewing the matter,\u201d or \u201cyou\u2019ll get an answer soon.\u201d But nothing ever actually happened. Even filing an official complaint didn\u2019t help move things forward (though in theory, it could have been used later as part of a case with the Financial Ombudsman, had the company continued ignoring their legal obligation to respond).    <\/p><p class=\"p1\">So what actually worked? Calling them out publicly. I left a comment on a LinkedIn post from the company\u2019s vice president \u2014 a post where they were proudly talking about their personalized approach to customer service. I explained our situation politely, without any hostility. I never got a reply, but the impact was immediate: the very next day, I was told that the company\u2019s representatives had already scheduled a notary appointment. Two days later, the documents were ready for pickup. I later thanked the VP \u2014 if that outcome was thanks to her, then I genuinely appreciate it. But still\u2026 does it really have to come to this?      <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-d55b05f elementor-widget elementor-widget-text-editor\" data-id=\"d55b05f\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>What documents should be prepared?<\/h3><ol><li class=\"p1\">A general authorization to use the vehicle abroad (in both Polish and English) \u2014 this one will be needed later for legalization, which we\u2019ll cover at the end of the article.<\/li><li class=\"p1\">A separate, more detailed authorization outlining the lessee\u2019s responsibilities related to the CPD. This document must list the specific countries you plan to travel through \u2014 you can\u2019t just write \u201cworldwide\u201d.<\/li><\/ol><p class=\"p1\">The content of the second document must include mandatory provisions, such as:<\/p><p><strong><em>Terms of authority and responsibility<\/em><\/strong><\/p><ol><li><em>The authorization remains valid for the entire term of the lease agreement.<\/em><\/li><li><em>The lessee shall bear full legal and financial responsibility for the vehicle during its use outside Poland, including:<\/em><ol><li><em>Insurance,<\/em><\/li><li><em>Compliance with customs and traffic regulations,<\/em><\/li><li><em>obligations arising from customs clearance and Carnet de Passages (CPD)<\/em><\/li><\/ol><\/li><li>The lessee is fully responsible for the formalities of CPD &#8211; applying for its issuance, incurring costs and legal obligations arising from the use of the vehicle in the above-mentioned countries.<\/li><li>If the lease agreement expires during the CPD, the lessee assumes full responsibility for the vehicle and its return to Poland.<\/li><\/ol><p class=\"p1\"><span class=\"s1\">We do not take responsibility for whether the content described here will be accepted in your specific case<\/span>. Every leasing company has its own internal procedures, and PZM may also have additional requirements depending on the situation. The form itself isn\u2019t complicated, but gathering all the required attachments \u2014 especially for a leased vehicle \u2014 takes some attention and patience.<\/p><p class=\"p1\">For a leased vehicle, submit:<\/p><ul><li class=\"p1\">application (in two copies),<\/li><li class=\"p1\">A copy of the vehicle registration certificate,<\/li><li class=\"p1\">A copy of your passport and driver&#8217;s license,<\/li><li class=\"p1\">A copy of your current Automotive membership card (if you have one),<\/li><li class=\"p1\">A copy of the lessor&#8217;s current copy of the National Court Register (<a href=\"https:\/\/wyszukiwarka-krs.ms.gov.pl\/\" target=\"_blank\" rel=\"noopener\">downloadable from the National Court Register<\/a>),<\/li><li class=\"p1\"><span class=\"s1\">lessor&#8217;s consent <\/span>&#8211; in the form of a document signed by the company&#8217;s representatives in the presence of a notary, which we wrote about earlier,<\/li><li class=\"p1\">three photos of the vehicle:<ul><li class=\"p1\">Diagonally in front,<\/li><li class=\"p1\">Rear with a visible license plate,<\/li><li class=\"p1\">VIN number (preferably from the body),<\/li><\/ul><\/li><li><span class=\"s1\">confirmation<\/span> of payment of the guarantee deposit<span class=\"s1\">,<\/span><\/li><li><span class=\"s1\">confirmation<\/span> of the document fee<span class=\"s1\">.<\/span><\/li><\/ul><p class=\"p1\">In the application itself, you need to indicate:<\/p><ul><li class=\"p1\"><span class=\"s1\"><b>all the countries<\/b><\/span> through which you plan to travel &#8211; if you are going one way and back through the same country, just enter it once,<\/li><li class=\"p1\"><span class=\"s1\"><b>vehicle owner data<\/b><\/span> &#8211; that is, the leasing company&#8217;s data (name, address, tax ID, etc.),<\/li><li class=\"p1\"><span class=\"s1\"><b>Details of the vehicle user<\/b><\/span> &#8211; that is, the person who physically rides the motorcycle and requests the document (that is, you),<\/li><li class=\"p1\"><span class=\"s1\"><b>Vehicle data<\/b><\/span> &#8211; including equipment (enter everything that is attached and is not removable by design &#8211; trunks, crash bars, grips, additional lights, etc.),<\/li><li class=\"p1\"><span class=\"s1\"><b>The value of the vehicle<\/b><\/span> &#8211; preferably according to a national insurance quote,<\/li><li class=\"p1\"><b>Contact to the vehicle user <\/b>&#8211; <span class=\"s1\">phone number and e-mail,<\/span><\/li><li class=\"p1\"><span class=\"s1\"><b>details for the return of the deposit <\/b><\/span>&#8211; account number and details of the account owner to which the amount is to be returned upon return.<\/li><\/ul><p class=\"p1\">You can either deliver the application in person to the PZM Travel office or send it by courier. <span class=\"s1\">We chose to hand it in ourselves <\/span>\u2014 a notarized document isn\u2019t something we were comfortable trusting to a courier, especially considering the risk of it getting lost in transit.<\/p><p class=\"p1\">If you have any questions, it\u2019s definitely worth reaching out to <span class=\"s1\">Ms. Ewa Zakrzewska<\/span>, who handles the issuance of CPDs.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-4b92e42 elementor-widget elementor-widget-text-editor\" data-id=\"4b92e42\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>Deposit payment &#8211; how to determine its amount?<\/h3><p class=\"p1\">Each <span class=\"s1\">Carnet de Passages<\/span> must be secured by a <span class=\"s1\">guarantee deposit<\/span>, paid by wire transfer to the account of PZM Travel. The amount of this deposit depends on two things: <\/p><ul><li class=\"p1\">Value of the vehicle (in PLN),<\/li><li class=\"p1\">and the countries you plan to travel through.<\/li><\/ul><p class=\"p1\">In our case, we declared the value of the motorcycle as <strong><span class=\"s1\">85,000 PLN<\/span><\/strong> and planned our route only through countries in the \u201c<span class=\"s1\">other<\/span>\u201d category \u2014 meaning no India, Iran, Pakistan, Egypt, Sri Lanka, or any countries in Southern Africa. For that combination and a motorcycle (category 1), the required deposit was <strong><span class=\"s1\">22,000 PLN<\/span><\/strong>. <\/p><p class=\"p1\">You pay the deposit from your own account &#8211; the leasing company is no longer involved in the process.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-b8a8dbc elementor-widget elementor-widget-text-editor\" data-id=\"b8a8dbc\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h4><b>What does the number of cards in the carnet mean?<\/b><\/h4><p class=\"p3\">When submitting the application, you choose the CPD variant:<span class=\"s2\"><b> 5-page<\/b><\/span>, <span class=\"s2\"><b>10-page<\/b><\/span>, or<span class=\"s2\"><b> 25-page<\/b><\/span>. Each \u201cpage\u201d covers one full transit through a country \u2014 including both entry and exit. <\/p><p class=\"p1\">So if you\u2019re planning to travel through 5 different countries, you\u2019ll need 5 pages. And if you enter the same country again on your way back, you\u2019ll need an <span class=\"s1\"><b>additional page<\/b><\/span> for that country. <\/p><p class=\"p1\">In our case, a <span class=\"s1\"><b>10-page carnet<\/b><\/span> was enough. But it\u2019s definitely worth planning your route carefully. It must be stamped twice &#8211; at entry and at exit. <\/li><\/ol><p class=\"p4\">That&#8217;s why it&#8217;s so important <span class=\"s3\">not to lose any pages and always keep an eye on the stamps<\/span> &#8211; without them, there could be a problem with the return of the deposit.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-7269bd6 elementor-widget elementor-widget-text-editor\" data-id=\"7269bd6\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>Receiving the document<\/h3><p class=\"p1\">From the moment the complete application is submitted, the waiting time for the Carnet de Passages is usually <strong>between <span class=\"s1\">2 and 4 weeks<\/span><\/strong>. In our case, it took exactly <span class=\"s1\">4 weeks<\/span>. Once the document was ready, we were notified by email by <span class=\"s1\">Ms. Ewa from PZM Travel<\/span>.<\/p><p class=\"p1\">At the office, all we had to do was show up with an ID. They double-checked our details, we signed the receipt \u2014 and that was it. A quick, straightforward chat, and just like that, one of the most time-consuming parts of the preparation was behind us.<\/p><p class=\"p1\">We also learned that cases where a leasing company actually agrees to provide a <span class=\"s1\">notarized authorization<\/span> for travel outside the EU are pretty <span class=\"s1\">rare<\/span>. Which makes us even more aware that we managed to get through something that, for many, ends in a dead end.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-33586e1 elementor-widget elementor-widget-text-editor\" data-id=\"33586e1\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2>Costs associated with issuing CPD<\/h2><p>Organizing a Carnet de Passages isn\u2019t just about time and paperwork \u2014 it also comes with real costs that need to be factored into your travel budget. And if your vehicle is leased, that list of expenses gets a bit longer. <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-e687cc9 elementor-widget elementor-widget-text-editor\" data-id=\"e687cc9\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>How much does the Carnet de Passages cost?<\/h3><p class=\"p1\">The final cost consists of several elements:<\/p><ul><li class=\"p1\"><span class=\"s1\"><b>The fee for issuing the carnet<\/b><\/span> depends on the number of pages and whether you\u2019re a member of PZM. In our case (a 10-page carnet, without membership), the cost was <span class=\"s1\"><b>1,250 PLN<\/b><\/span> (incl. VAT). If you\u2019d like an invoice issued to your business, make sure to include your company details when submitting the CPD application.  <\/li><li class=\"p1\"><span class=\"s1\"><b>The security deposit <\/b><\/span>depends on the value of the vehicle and the regions you plan to travel through.<\/li><li class=\"p1\"><span class=\"s1\"><b>Optional courier fee<\/b><\/span> \u2014 we picked up the carnet in person, but if you prefer to have it shipped, expect to add around <span class=\"s1\"><b>40 PLN <\/b><\/span>to the cost.<\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-0b04fef elementor-widget elementor-widget-text-editor\" data-id=\"0b04fef\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h3>Return of deposit<\/h3><p class=\"p1\">The security deposit paid when applying for the Carnet de Passages is <span class=\"s1\"><b>refundable<\/b><\/span> \u2014 but only if certain conditions are met.<\/p><p class=\"p1\">After the trip, you need to return the original CPD to <span class=\"s1\"><b>PZM Travel <\/b><\/span>with all the <span class=\"s1\"><b>customs stamps in place<\/b><\/span> \u2014 each used page must show both entry and exit stamps for every country. This serves as proof that the vehicle actually left each country it entered. <\/p><p class=\"p1\">Only after those entries are verified and approved by the central office (which forwards the data to the FIA \u2014 the international body responsible for CPDs), <span class=\"s1\"><b>PZM will refund the deposit to the account you provided.<\/b><\/span><\/p><p class=\"p1\">This process can take up to <span class=\"s1\"><b>14 days<\/b><\/span>, so it\u2019s a good idea to take care of the paperwork as soon as you return. In our case, we\u2019ll share an update once the refund actually happens \u2014 but that\u2019s the official procedure. <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-fd63482 elementor-widget elementor-widget-text-editor\" data-id=\"fd63482\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2>Legalization of documents<\/h2><p class=\"p1\">Legalization is a whole process on its own, and we\u2019ll cover it in detail in upcoming posts \u2014 one for each country we\u2019ll be passing through. But for now, it\u2019s important to understand that the leasing company\u2019s authorization and the CPD application are just the beginning.<\/p><p class=\"p1\">If you\u2019re planning to travel through countries outside the EU, you\u2019ll need not only the document for PZM but also a <span class=\"s1\">separate authorization to use the vehicle<\/span> \u2014 prepared in a language that\u2019s understood by the authorities in the destination or transit countries (for example, English, Arabic, or Turkish, depending on your route).<\/p><p class=\"p1\"><span class=\"s1\">In our case<\/span>, the authorized representatives of the leasing company signed two separate documents in front of a notary<span class=\"s1\">:<\/span><\/p><ul><li class=\"p1\"><span class=\"s1\"><b>The first <\/b><\/span>\u2014 a document outlining the responsibilities related to the CPD, which was submitted in its <span class=\"s1\"><b>original form to PZM Travel<\/b><\/span>,<\/li><li class=\"p1\"><span class=\"s1\"><b>The second <\/b><\/span>\u2014 <span class=\"s1\">a general authorization to use the vehicle outside the EU<\/span>, which we continue to work with: it\u2019s translated by a sworn translator and goes through the legalization process.<\/li><\/ul><p class=\"p1\">The original of this second document stays at home \u2014 <span class=\"s1\"><b>we only use certified copies<\/b><\/span> (official duplicates confirmed by a notary), which are then sent to:<\/p><ul><li class=\"p1\">a sworn translator (if the document wasn\u2019t originally prepared as a bilingual version),<\/li><li class=\"p1\">a notary\u2019s office (to certify the signature),<\/li><li><p class=\"p1\">the Ministry of Foreign Affairs to obtain an <span class=\"s1\"><b>apostille<\/b><\/span>, or to the embassy of the relevant country \u2014 depending on the specific requirements.<\/p><\/li><\/ul><p class=\"p1\">All of this takes time and proper planning, so it\u2019s best to start early.
